Technology is changing and, if you own a business, you'll know how important it is to keep up with those changes. Nowadays, everything is done online businesses are throwing away their notepads and folders in favour of taking their business to the internet. But why are so many companies suddenly making the change to paperless?
Find out how Zigaflow can automate your business processes
Stay up to date with the latest updates and news from Zigaflow
As you might have guessed, a paperless business is one that minimises the usage of paper in favour of using digital resources and storing their documents on a device or in the Cloud. The concept was first mentioned in a Business Week article in 1975 called 'The Office of the Future' but today it's a reality for many, including us!
If you're running a business, saving money may be your first concern. How much do you actually spend on paper in a year? How much time do you waste trying to organise your documents in a folder or filing cabinet? How many times do you have to get them photocopied? Considering the fact that almost half of that paper will be thrown away by the end of the year (which we'll get into later), is it really worth it? Going paperless in your office saves you money and means you no longer have to spend hours filing through mountains of documents.
No matter how organised you try to keep your office space, it's never going to be perfect and if you have documents that are ten, maybe even twenty years old, you're only making it harder for yourself. Everyone has that one filing cabinet that they dare not look inside because of how cluttered and disorganised it is. That's why using an online storage system or Cloud storage option for all your papers and documents would be beneficial for a company that likes keeping its assets and information in check.
Compared to physical documents and papers, digital information can be transported more easily. Instead of lugging around heavy folders or moving filing cabinets, digital documents can simply be transferred to a USB and carried around in your pocket from one location to the next.
In general, physical documents are at a higher risk of theft, misplacement or damage compared to their digital counterparts which can be stored in databases online. You can also utilise services like the Cloud to keep your data safe, minimising the threat of having it stolen or lost, and keep your documents password-protected for an extra layer of safety.
Nowadays, approximately 45% (that's almost half) of all pages printed in the office eventually end up in the bin whether it's because they display typing errors, incorrect statistics, outdated information, or they're just not needed anymore. Digital information, on the other hand, can be easily edited to remove these problems, or even deleted altogether, without throwing away any paper in the process. Rather than wasting all of that paper, consider switching to a digital database or Cloud software to store your documents online.
Are you looking to make your business paperless, or partially paperless? At Zigaflow, we know it's doable since we've done it ourselves! If you're considering going paperless but you don't know where to start, book a demo with us today and let us show you how to make a difference to your business.
